What is a transaction file?

The transaction file is a data file in which transaction records are stored that relate to items in the main file. These types of files are used to isolate regular transaction activity from the main file information and at the same time allow the database to connect them together in a key link. This key link is usually the only record common to both records of records, such as an account number, employee name or client name or order. This allows database operators to maintain the main files relatively small when accessing a full history of transactions for audit trails or reports. The company databases

may contain an extremely large amount of information that usually consists of individual details of clients, suppliers and employees and records of repeating events related to everyone. These databases are often divided into main and transaction files. The main file contains individual specific details such as names, company contacts, addresses, e -mail lists andspecification of products or services especially for individuals or society. A set of transactions includes sales or purchase transactions, calendar events or employees' details such as holidays, disciplinary measures or career reports.

These transaction data blocks include a key item that is common to the main and transaction files. This may be an account number, contact name, employee identification number or financial data such as purchasing orders or invoice numbers. The key item is the unique identifier that database uses to connect the transaction file items with the corresponding main file records. Any question or search for specific main file transactions is then isolated either a whole group of records for this record or any specific record depending on how specific the key is.

Maintenance of a separateThe Master and Transaction Records enables the main file to be kept in adminable size and only focus on specific entities. In applications where users store transaction records outside the web or on archive servers, they also make it easier for archiving from the main file. Maintaining a reserved transaction set also allows easy and effective audit. The transaction file can also serve as diagnostic or planning assistance for many databases with extensive news function based on its content. This type of file distribution is often known as a system of reference files because the main file "refers" to a file of transaction for specific event details.
