What is document management?

Businesses and other organizations, as well as individuals who process large amounts of information, need documents management systems to provide, secure, record and share this information. Document management is an organized system that methodically processes, stores and obtains documents and data in them. For a printed copy or paper documents, this process can be simply referred to as a feeding system.

Document management is a more modern version that usually includes electronic production, storage and searching for documents and other files, providing safe access to those who have will. In addition to typical documents such as text files or scanned copies of paper documents, document management can also include audio and video files, e -maly, faxes, messages, photos, fonts, graphics and other images.

Document management software was created in an effort to introduce a "paperless" office. One example is the banking industry. These days, instead of sending canceled checks together with bank statements, banks create miniature digital copies of inspections and print them as needed. The bank also keeps a copy for its records. Real checks can be destroyed or stored in a secure location for backup in case of a computer or damaged data failure.

Another good example is advertising agencies. Rather than using the premium space to hold scenarios and presentation materials, these items can be transformed into digital data. The entire advertising campaign can be converted into several files or folders stored on your computer whoIt can be accessible, distributed or printed as needed.

Document management can efficiently streamline any office environment. By classifying and conveniently storing information and easy to access, it helps employees to work more efficiently. Document management saves not only space and time, but also money. Because it is much more efficient than typical administration systems, it can also reduce stress in the workplace.
